This Privacy Policy explains how TBT Florida (“we,” “us,” or “our”) collects, uses, and protects personal information when families use our website, register players, and use the Player Portal. Because we serve youth athletes, protecting children’s information is especially important to us.

Who we are

Information we collect

We collect information you provide when you register a player, create a Player Portal account, pay a fee, or contact us — including:

  • Parent/guardian information: name, email address, phone number, mailing address, and relationship to the player.
  • Player (minor) information: name, date of birth, school/grade, playing positions, uniform sizes, and — where applicable — emergency contacts and medical/health details needed for safe participation.
  • Account information: the email you use to sign in and a securely hashed password.
  • Payment information: fee amounts, payment status, and transaction receipts. Card numbers are entered directly with our payment processor (Stripe) and are never stored on our servers.
  • Photos and video: team and event imagery, used only in accordance with the media-consent option you select during registration.
  • Automatic information: basic server logs and cookies strictly necessary for signing in and keeping you logged in. We do not use advertising or cross-site tracking cookies.

Children’s privacy

Our programs are for youth athletes, and we take children’s privacy seriously. We collect a player’s information only from a parent or legal guardian who provides it during registration or roster placement. Children may not create their own accounts. A parent or guardian may review their player’s information, ask us to correct it, or request its deletion at any time by contacting us at info@tbtflorida.com. We do not knowingly collect information directly from children, and we do not sell children’s personal information.

How we use information

  • Operate the program: evaluate tryouts, build teams and rosters, and manage participation.
  • Communicate with families about schedules, practices, events, and program updates.
  • Process fees and payments and keep payment records.
  • Provide the Player Portal and keep accounts secure.
  • Support player safety, including responding in an emergency.
  • Comply with legal obligations and enforce our Terms of Use.

How we share information

We do not sell personal information. We share it only as needed to run the program:

  • Coaches and staff — on a need-to-know basis for the teams they manage.
  • Service providers — our payment processor (Stripe), email/notification providers, and website hosting, who may process information only to provide services to us.
  • Leagues and tournaments — rosters or eligibility information required for events your player participates in.
  • Legal reasons — when required by law or to protect the rights, safety, or property of players, families, or the organization.

Payments

Online payments are processed by Stripe. Your card details are collected in a secure field hosted by Stripe and are transmitted directly to Stripe; we never see or store your full card number. Stripe’s handling of payment data is governed by its own privacy policy.

Communications and your choices

We send program and team notices by email. You can turn team and program emails on or off from your Player Portal notification settings, or by using the unsubscribe option in our emails. Essential account and payment messages may still be sent.

Data retention

We keep personal information for as long as your family is active in the program and as needed for legitimate operational, accounting, and legal purposes. You may request deletion of information that we are not required to retain.

How we protect information

We use reasonable safeguards, including encrypted (HTTPS) connections, hashed account passwords, access limited to authorized staff, and a PCI-compliant payment processor. No method of transmission or storage is perfectly secure, but we work to protect your family’s information.

Your rights

You may ask us to access, correct, or delete personal information, or ask questions about this policy, by emailing info@tbtflorida.com. We will respond consistent with applicable law.

Changes to this policy

We may update this policy from time to time. The “Last updated” date above reflects the current version, and material changes will be communicated to families.
